Clean It Up & Send It

Chapter 4 of 5

Give It a 20-Second Once-Over

Gemini is fast and usually spot-on — but it's not in the room, and it can occasionally mishear a name or pin a task on the wrong person. So before you send, read it once. You're checking three things:

The quick check

1. Right names? Make sure every task landed on the person who actually agreed to it.

2. Nothing missing? If a decision got skipped, just tell Gemini to add it.

3. Any orphans? If a task has no owner, that's your cue to assign one — type “the vendor calls are James” and Gemini fixes it.

You're the one who was in the meeting. Gemini did 95% of the work; this last glance is the 5% only you can do.

Now Send It Where It'll Get Seen

A summary nobody reads is a summary that didn't happen. Copy Gemini's answer and drop it wherever your team actually looks:

  • Email — paste it in, subject line “Action items from today,” send.
  • A group chat (Teams, a text thread, whatever you use) so everyone sees their name.
  • A shared doc or note the whole team can check off as things get done.

Want it formatted to send? Ask Gemini: “Turn this into a short email I can send the team.” It'll write the whole message for you.

One more privacy beat before you hit send

Same rule as Chapter 2, at the finish line: if the summary contains anything private or regulated — patient, client, or employee-confidential details — be just as careful about where you send it as you were about pasting it. Public tools and wide group chats aren't the place for protected information. When in doubt, ask us first.

Want the same “let AI do the boring part” trick for your inbox? The Out-of-Office Done Right microcourse is a nice next step once you've got this one down.

The Whole Course in Five Lines

That's the entire workflow, start to finish. Here it is in one glance:

Meeting → action items, every time

  • Capture it in words. Record on your phone and grab the transcript — or paste your rough notes.
  • Mind the privacy line. Private or regulated info doesn't go into a public AI. Use notes, or ask us.
  • Paste + prompt. “Summarize this meeting. List the action items as a checklist, and note who is responsible for each. Keep it short.”
  • Refine by asking. Shorter, group by person, flag what's overdue — just tell it.
  • Check + send. Fix any wrong owner, then get it in front of the team.
Record it. Prompt it. Send it.

Quick Check — Send It, or Fix It First?

You just got Gemini's summary back. For each one, make the call: is it ready to send, or does it need a quick fix before it goes out? Tap your answer.

Ready to send — or fix it first?
Every task has an owner, but one is assigned to the wrong person.
The summary reads well and every action item has the correct name on it.
One action item just says “follow up with the vendor” — no name attached.

Match-Up — The Follow-Up Prompts

Last one, and it's a game. Flip the cards two at a time and match each follow-up prompt to what it does. Find all four pairs and your cheat sheet's ready.
