Welcome! Let’s Fix That Printer
Printers are notorious for causing frustration – they never seem to work when you need them most! But most printer problems are surprisingly simple to fix. I’m here to show you how to troubleshoot like a pro!
Why Printer Problems Matter
Printer issues cost your business in multiple ways:
- Lost productivity: Waiting for tech support when you need to print NOW
- Wasted supplies: Test pages, misprints, jammed paper
- Stress: Printer problems always happen at the worst time
- Service calls: $125+ for issues you could fix yourself
In this course, you’ll learn:
- The #1 rule of printer troubleshooting (restart everything!)
- How to fix “won’t print” problems in 5 minutes
- Paper jam solutions that actually work
- Print quality fixes (streaks, fading, smudges)
- When to call for help vs. DIY
The Universal Printer Fix: Turn It Off and On Again
I know it sounds too simple, but restarting fixes 60% of printer problems. Here’s how to do it properly – there’s a right way and a wrong way!
The Proper Restart Procedure
✓ Step-by-Step Restart Process
- Turn off the printer using the power button
- Unplug the power cable from the back of the printer
- Wait 30 seconds (this clears printer memory)
- Plug it back in
- Turn it on and wait for it to fully start up
- Try printing again
Why This Works
- Clears print queue: Stuck jobs get deleted
- Resets printer memory: Fixes confusing errors
- Re-establishes connection: Computer and printer reconnect
- Refreshes print head: Clears temporary clogs
Also Restart Your Computer!
If the printer restart doesn’t work, restart your COMPUTER too. Printing issues are often on the computer side, not the printer!
💡 Jerry’s Rule
“When in doubt, restart everything – printer, computer, and router if using network printer. Do this FIRST before anything else!”
“It Won’t Print!” – The 5-Minute Fix
You click print… and nothing happens. Here’s how to diagnose and fix it quickly.
Quick Diagnostic Checklist
Check #1: Is the printer actually on?
Look for power light. Sounds obvious, but it’s often the issue!
Check #2: Is there paper loaded?
Empty paper tray = nothing to print on. Make sure paper is loaded correctly.
Check #3: Is it set as the default printer?
- Windows: Settings → Devices → Printers & Scanners
- Find your printer in the list
- Click it and select “Set as default”
Check #4: Is there a stuck print job?
- Double-click printer icon in taskbar (bottom right)
- See any jobs stuck with errors?
- Right-click each job → Cancel
- Try printing again
Check #5: Is the printer offline?
- Open printer queue (double-click printer icon)
- Click “Printer” menu at top
- If “Use Printer Offline” has a checkmark, click it to uncheck
- Printer should reconnect
Check #6: Cable connection (if USB printer)
Unplug USB cable, wait 5 seconds, plug back in firmly. Try different USB port if available.
Check #7: Network connection (if network printer)
- Print a network configuration page from printer (check printer manual)
- Verify it has an IP address
- Try pinging that IP from computer
- Restart router if network printer won’t connect
If Nothing Works
Nuclear Option: Remove the printer completely and reinstall it
- Settings → Devices → Printers & Scanners
- Click printer → Remove device
- Restart computer
- Re-add printer (it should auto-detect)
Let’s Practice: Troubleshooting Order
What should you try FIRST when a printer won’t print?
🎯 Scenario: Printer Won’t Print
You click print, but nothing happens. The printer is on, has paper, and was working yesterday. What’s the FIRST thing you should try?
Paper Jams & Print Quality Issues
Paper jams and poor print quality drive people crazy. Here’s how to handle them.
Paper Jam Solutions
How to Clear a Paper Jam
- Turn off printer (prevents damage while clearing)
- Open all access doors – front, back, top
- Remove visible paper – pull gently in direction of paper path
- Check for small pieces – shine flashlight, look for torn bits
- Close all doors
- Turn on printer and try again
⚠️ Important: Never pull paper backward! Always pull in the direction it was feeding.
Preventing Paper Jams
- Use good quality paper – cheap paper causes jams
- Don’t overfill paper tray – stop at the max line
- Fan paper before loading – separates sheets
- Keep paper dry – humidity causes sticking
- Check for damaged rollers – worn rollers don’t grab well
Print Quality Problems
Problem: Faded prints or streaks
Fix: Low ink/toner. Check levels and replace cartridge. Run cleaning cycle from printer menu.
Problem: Smudges or smears
Fix: Print head dirty. Run cleaning cycle 2-3 times. If ink-based, may need new print head.
Problem: White lines through text
Fix: Clogged print head. Run cleaning cycle. For laser, toner cartridge may be low or defective.
Problem: Prints too light or too dark
Fix: Adjust print density in printer settings. Check printer manual for density/darkness controls.
Problem: Everything prints blank
Fix: Remove protective tape from new cartridge! Or cartridge installed incorrectly.
